Laundry Software: Order Status Tracking and WhatsApp Updates

Per-kilo vs per-item pricing, order status tracking, automatic WhatsApp notifications, and prepaid packages — what laundry businesses need from software.

“Is my laundry from yesterday ready?” That question arrives by WhatsApp, by phone, and in person — dozens of times a day. And every time, someone has to stop ironing, dig through the pile, and hunt for a paper slip whose ink has gone blurry from steam.

Rainy season makes it worse. Orders pile up because nobody’s clothesline at home is drying, the queue stretches, and customers who were promised “ready tomorrow” start getting irritated. This is the point where a laundry run on carbon-copy receipts starts losing to one run on a system.

Per-kilo and per-item are two different pricing brains

A wash-and-fold shop almost always sells both at once. Kilo pricing comes off the scale — 3.4 kg times the per-kg rate — while item pricing is flat per piece: a duvet, a suit, a pair of sneakers, each with its own price. Then there’s the service multiplier: regular three-day, express next-day, six-hour rush, all priced differently.

Generic POS software understands “item times quantity” and little else. So kilo prices get rounded, express surcharges get computed in someone’s head, and small errors repeated dozens of times a day quietly become real money by month end. Proper laundry software takes decimal weights, multiplies the per-kg rate, mixes flat-rate items onto the same receipt, and applies express pricing without anyone doing mental math.

One small habit worth building: record the piece count at intake. “3.4 kg, 21 pieces” on the receipt is what saves you from a “one of my shirts is missing” claim that neither side can prove.

Order status: from mystery pile to a board everyone can read

Every order moves through the same stages: received, washing, drying, ironing, packed, ready for pickup, collected. When those stages live in a system, “is it ready yet” gets answered at a glance — including by the evening-shift employee who knows nothing about this morning’s intake.

The second benefit points inward: you finally see where the bottleneck is. If orders always stack up at the ironing stage, that’s a signal to add hands or equipment there — not to buy another washing machine. Equipment decisions start coming from data instead of gut feel.

The WhatsApp notification: small feature, biggest felt impact

Of everything laundry software does, this is what customers notice first: the moment an order flips to “ready”, a WhatsApp message goes out on its own. “Your 3.4 kg order is done — pickup until 9 p.m. today.”

The effects stack. “Is it ready” questions drop off a cliff, freeing staff to actually work. Finished laundry stops sleeping on the shelf for days — and shelf space is a genuine constraint in a three-by-four-meter shop. Customers feel professionally handled, which matters enormously in a trust business like laundry. Why WhatsApp rather than SMS or email? Because in Indonesia it’s the one channel that reliably gets opened — more on that in WhatsApp for local business.

Prepaid packages turn weekly customers into steady income

Laundry has a lovely demand pattern: the need repeats every week. That’s perfect raw material for prepaid packages — pay 100,000 rupiah up front for 16 kg (a 2 kg bonus), or a monthly plan for boarding-house students. The customer saves, you get cash up front plus a soft guarantee they won’t defect to the shop across the street.

The hard part is bookkeeping: every customer’s remaining quota has to stay accurate. On paper, that’s a running source of disputes and forgotten balances. In a system, each transaction deducts the quota automatically, the receipt shows what’s left, and when a package runs low, the system nudges the customer to top up — that’s your next sale walking in on its own.

What to check before you choose

Keep the checklist short: decimal-weight kilo pricing plus flat items on one receipt, order statuses that update in a tap, automatic WhatsApp notifications, and prepaid packages with self-deducting balances. A register that keeps working when the internet drops matters too — shop modems are moody, and transactions shouldn’t die with the connection (we covered this in keeping your POS alive when the internet cuts out).

Tenavora covers this flow as part of its platform for service businesses — but whatever you pick, the test is the same: next week, when a customer asks “is it ready”, the answer should take five seconds. Not five minutes of digging through the pile.
